To design the perfect client communication, you must know your ideal client. Ask yourself who this is. What do they want? How do they want it? Why do they want it? Analyze all the factors that make your client (or potential client) attractive to your business, and how what you do solves the problem that the client has.

By understanding these factors and in turn understanding what will attract the most in each situation, you can design a better messaging strategy. The ideal communication can make your product or service more appealing to clients. It comprises the right message, the right design, and the perfect timing. Once you have got this right, all you need to do is rinse and repeat.

How to accelerate sales process: Develop a sales communication content ‘factory’

Here’s the big tip I promised you. Stop doing everything from scratch! Develop your own sales communication content factory.

So many of my clients suffer from lower sales because they are constantly rewriting every piece of client communication they make. This achieves nothing more than cost you time and sales.

Consider a request for proposal (RFP). This can take hours to put together. Not only must you write it, but you must check that it hits all the points you need it to. 

You must ensure that it is compliant with any rules and regulations governing sales communications in your industry and location. 

Then, before you send it, you’ll need to get it checked for technical accuracy and to make sure there are no grammar and spelling mistakes that will make you look unprofessional and uncaring.

I can’t tell you how many times I’ve heard entrepreneurs and salespeople say, “I’m used to it now. Sure, it takes an hour or two, but I understand the process and how to put a letter together.”

Let me tell you, once I’ve introduced them to rinse and repeat sales communications, they never go back.

How do you do rinse and repeat sales communication?

The term ‘rinse and repeat’ is used to indicate the continual repetition of an action or sequence of events, removing the need for tiresome, laborious, and predictable tasks. Like composing a sales letter or RFPs.

How do you do this? Simply take that sales communication that you have perfected, and optimize it for each client you speak to by personalizing it to specific queries, needs, and problems. In brief, create customizable templates from your most successful sales communications.

Optimize your sales communications

Think of all the ways you communicate with your clients. Letters. Emails. Text messages. Proposals. And each time you do, you say pretty much the same thing, right?

Take a sales proposal. You’ll probably include:

  • A personalized cover letter

  • A summary of your client’s problem

  • Details of your solution

  • An action plan

  • Pricing

  • Testimonials

  • A close

By creating a template that delivers all of this, you will save a whole bunch of time and produce a document that you know works. 

I set up sales templates in my CRM (I use Copper), and this enables me to ‘publish’ an RFP in seconds. I pretty much add in the client’s name and other details, their needs, and hit enter. All the donkey work is done for me.

And if I need to send a message? I use a tool called Voxer to leave quick messages rather than type it.

What if I need to write a bespoke letter? I do this by using systems with preformatted text. Whether it’s on a PC, MAC, iPhone, or Android, I only need to type a couple of words and a whole sentence is completed for me.
